What we collect when you nominate a speaker, why, who sees it, and how to erase it. No fine print.

Who is responsible
The data controller is the TEDxDUTH, team, Democritus University of Thrace, Xanthi, an independently organized event under license from TED. For anything concerning your data: info@tedxduth.gr
What we collect and why

| Nominee details | Name, occupation, topic, links, reasoning, and optionally contact details. Used only to evaluate the nomination and to reach them if it moves forward. |
| Your details | Full name and e-mail, to verify the submission (one-time code). In a self-nomination, optionally your phone too, so we can reach you if the nomination moves forward. |
| IP address | Stored only in hashed form, to prevent abuse. |
| Newsletter | Only if you explicitly opt in. Unsubscribe with one click from any e-mail. |
| Cookies | Only technically necessary ones (detailed below). Nothing for advertising, no external analytics, which is why you will not see a consent banner. |
When you nominate someone else
A nomination is usually about another person. We process their details exclusively to see whether they fit the TEDxDUTH stage (legitimate interest, Article 6(1)(f) GDPR).
- If the nomination moves forward, our team contacts them directly and explains how their details were obtained.
- If it does not, the details remain in the internal nominations archive and are used for no other purpose.
- The nominated person holds the same rights as you (access, rectification, erasure).
Who sees it
Inside the team: μόνο τα μέλη της ομάδας ομιλητών του TEDxDUTH και οι τεχνικοί διαχειριστές. Τα δεδομένα δεν πωλούνται και δεν κοινοποιούνται σε τρίτους.
Providers that help us operate:
- Cloudflare: connection protection and bot checking (Turnstile), per its own privacy policy. Certified under the EU-US Data Privacy Framework.
- Microsoft (Office 365): sending the verification e-mails.
- Mailchimp (Intuit): only if you subscribe to the newsletter.
The cookies, one by one

All three are strictly necessary for the form to work, which is why no consent banner is required. There are no advertising, statistics or tracking cookies.
How long we keep it
- Servers within the European Union, communication always over HTTPS.
- One-time codes are stored only hashed, expire in 10 minutes and are deleted automatically.
- Nominations remain in the speakers team's internal archive across seasons, to avoid duplicate nominations. You can request their deletion at any time.
- Your newsletter subscription lasts until you unsubscribe.
Your rights
Access, rectification, erasure, portability, objection, withdrawal of consent: at any time, with an e-mail to info@tedxduth.gr. If you believe they are being violated, you may contact the Hellenic Data Protection Authority.
